1. Who we are

DocketWorks ("we", "us", "our") is a document preparation service for self-represented litigants in England and Wales. We are the data controller for the personal data we collect about you through this website and during the course of preparing your document pack.

We are not a law firm. We do not provide legal advice. This privacy policy explains how we handle the personal data you give us when you use our service.

2. The data we collect

When you submit an intake form

Our intake forms are hosted by Tally and are embedded on this website. When you submit a form we receive:

  • Your name, contact details, and case information (the type of dispute, dates, parties, claim value).
  • Any documents you upload as part of the form.
  • Your stated tier preference (Essential, Standard, Full Pack, or Complex).

When you correspond with us

We use Zoho Mail as our business email service. Any emails you send to contact@docketworks.co.uk, and any documents attached to those emails, are received and stored on Zoho's mail servers.

When we prepare your case

We store the documents you supply, and the document pack we produce, in Zoho WorkDrive (cloud storage), in a folder specific to your case.

Special category data

Some cases (notably employment, housing, and benefits) involve special category data under Article 9 UK GDPR — typically health information you share to evidence your case. We process this data only because it is necessary for the establishment, exercise or defence of legal claims (Article 9(2)(f) UK GDPR).

Website usage

We do not currently run third-party analytics on this site. The Tally embed may set its own cookies for form functionality (see the Cookies section below).

3. Why we collect it and the legal basis

4. Who we share data with

We share your personal data only with the following processors, each of which acts on our instructions and is subject to a data-processing agreement:

We do not sell your personal data, and we do not share it with marketing or advertising third parties. Canva is used only for our own branding and design and does not receive client data.

5. International transfers

Tally and Zoho are international providers and may process data outside the United Kingdom. Where this happens we rely on the UK extension to the EU Standard Contractual Clauses (the "UK Addendum"), the UK-EU adequacy decision (for EU servers), or — where relevant — the UK-US Data Bridge, to make sure your data is protected to UK GDPR standards.

6. How long we keep data

  • Active cases: while the case is in progress.
  • Completed cases: we retain the case folder for six years from completion. This matches the standard limitation period for contract claims under the Limitation Act 1980 and means we can respond to any complaint or query about the work we did.
  • Email correspondence: retained on the Zoho Mail server for the same six-year period.
  • Financial records (invoices, payments): retained for six years as required for HMRC purposes.
  • Marketing or pre-contract enquiries that do not result in a case: deleted within twelve months unless you ask us to delete sooner.

7. Your rights under UK GDPR

You have the right to:

  • Ask for a copy of the personal data we hold about you (right of access).
  • Ask us to correct inaccurate data (rectification).
  • Ask us to delete data in certain circumstances (erasure) — although we may need to keep some records to defend a complaint or meet a legal obligation.
  • Ask us to restrict how we use your data (restriction).
  • Receive a portable copy of the data you supplied (portability).
  • Object to certain types of processing (objection).
  • Withdraw consent at any time, where consent is the lawful basis we relied on.

To exercise any of these rights, please email contact@docketworks.co.uk. We will respond within one calendar month of receiving your request.

If you are not satisfied with how we have handled your data or your request, you have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk, or by phone on 0303 123 1113.

8. Cookies and analytics

This website does not set its own analytics or advertising cookies. The Tally form embed may set strictly necessary cookies for form functionality (for example, to remember partially completed answers if you reload the page). Tally publishes its own cookie policy at tally.so/help/cookies.

9. Children

Our service is intended for adults who are dealing with civil litigation. We do not knowingly collect personal data from anyone under the age of 18. If you believe we have done so in error, please contact us and we will delete the data.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page reflects when the policy was last changed. We will not reduce your rights under this policy without notifying you.
